RULES AND REGULATIONS

The following are the rules for riding the Prospera Granfondo Axel Merckx Okanagan (PGAMO). Anyone violating these rules is subject to removal from the event:

  • Helmets are mandatory: Helmets must be worn correctly and done up at all times.
  • Non-standard bicycles: (e.g. tandem bicycles, e-bikes, and race wheelchairs) PGAMO encourages the use of a standard road bike. Aero bars are not permitted. Tandems and e-bikes must be declared at registration and will start at the back of the field. Recumbent bikes and unicycles are not permitted. Due to size issues, it may not be possible to transport these bicycles back to the finish area should you require it.
  • “Stay Aware, Ride with Care”: Look for obstacles, ride safely and predictably. Don’t swerve and weave, keep your head up, and ride in single file when possible. Please be aware of and exercise good road riding etiquette.
  • Road rules: Obey all directions from police, traffic control personnel or course workers. Riders MUST give way to emergency vehicles. Many roads are open to traffic; be aware and do not cross the centre line. Where the route has a delineated lane closure (e.g. cones), crossing into the non-delineated lane is prohibited.
  • “Stay to the Right”: Unless passing another rider, ensure that you stay as far to the right of the road as you can; making it easy for other riders to pass you safely on the left.
  • No personal support vehicles on course: Please let us take care of you on your ride. Avoid clogging up the route with additional cars and trucks.
  • No unregistered riders: Riders found on a course for which they are not registered will be charged accordingly.
  • Timing chip and number placement: All participants must mount their chip and number according to the instructions supplied in the rider package. Chips will be collected at the finish. Riders who do not finish (DNF) must return their chip to the finish area or hand it in to event personnel. If the chip is not returned, you will be charged a $50 replacement fee.
  • Start Zones: Riders will be assigned to a start zone based on the anticipated average speed provided at registration. Riders will not be allowed to move forward into a faster zone, but will be allowed to move into a slower zone.
  • No personal audio devices (iPod, headphones, etc.): These devices present distractions, and ultimately place you and other riders at risk of accident.
  • No littering: Throwing anything on the ground during in the ride will result in removal from the event.
  • No public urination: Facilities are provided on course (Aid Stations) and at the Finish.
    Caravan vehicles: Riders must heed instructions from course officials. Do not pass the Lead Event Vehicle at any time.
  • Cut-off times: For course management and road safety, all Granfondo riders must be at the Fairview Golf Course aid station by 2:30 p.m. and at the White Lake Observatory aid station by 3 p.m. Riders outside of these times will be asked to leave the course, your timing chip and number will be removed, and you will be offered a ride to the finish area. The finish line closes at 4 p.m.
  • Treat course workers and volunteers with kindness and respect: We want our crew and volunteers to have a great time too. Abuse of PGAMO volunteers will not be tolerated; smiles and thank-yous will.
  • Right to refuse entry: The event organizers reserve the right to refuse entry into the event if any of the above rules are violated by a participant.

EVENT POLICIES

Package Pick Up (PPU) & Event Waiver

Riders must bring photo ID to Package Pick-Up, and ensure that a participant waiver is signed. PPU will not be available on the day of the event.


Event Cancellation Policy

The Prospera Granfondo Axel Merckx Okanagan, in accordance with and at the discretion of event organizers, municipal and provincial authorities, as well as regional law enforcement, reserves the right to cancel or alter any of the events due to unforeseen circumstances or emergency purposes such as, but not limited to, weather events and related consequences (e.g. flooding), hostile threats, highway closures mandated by provincial or other authorities, wildfires and associated population health and safety concerns. If such conditions force cancellation, refunds cannot be provided since funds will have been spent in preparation for Event Day.

Refunds

There are no refunds for the Prospera Granfondo Axel Merckx Okanagan (PGAMO) events. Unfortunately, there are no exceptions. However, we recognize that injuries and unforeseen events can happen. As a result, we have two policies in place to help registered participants should they be unable to ride in the 2020 Prospera Granfondo Axel Merckx Okanagan.

Roll-Over Policy

In the event of an unforeseen circumstance, such as an injury or scheduling conflict, participants can now defer their 2020 entry to the following year (2021 Prospera Granfondo Axel Merckx Okanagan). The roll-over system for 2020 registrants is only in effect until Friday, June 19, 2020 (2 p.m. PDT). All entry deferral requests must be made before that date. The cost for deferring/rolling-over an entry is $75 + tax and processing fees.

Transfer Policy

For a transfer fee of $30 +tax (processing fee included), an entry can be transferred to another individual. For example, if Person A registered for the event but decided they couldn’t attend (e.g. injury, scheduling conflict), Person A can transfer the entry to Person B. The registered participant (e.g. Person A) must e-mail the transfer request to info@granfondoaxelmerckx.com by Saturday, July 11th (5 p.m. PDT). For e-mailed requests made prior to Thursday, July 9th, the transfer would occur electronically. For e-mailed requests following Thursday, July 9th and until the July 11th deadline, the transfer will occur in person with the transferee (i.e. Person B) at the Information Solutions Desk at Package Pick Up.

Category Change Policy

As a registered participant, you can also change the category in which you’re currently registered. Please note that no refunds are provided for individuals switching categories to a lower priced category (e.g., Granfondo to Cortofondo), however, there will be a charge of the price difference between two categories when switching to a higher priced category (e.g., Cortofondo to Mediofondo). Category changes must be e-mailed to: info@granfondoaxelmerckx.com by Thursday, July 9th, 2020, after which all changes must be made in person at the Information Solutions Desk at Package Pick Up.


Event Waiver | Waiver of Claims and Release of Liability

In the context of this event, Waiver, Waiver Document, Release, Waiver of Claims and Release of Liability and all refer to the same document. You must sign the event waiver document during the registration process in order to participate in the event. The waiver is a legal document. By signing the waiver you agree that you understand and accept the risks and hazards of participating in the event and waive certain legal rights regarding action against parties named in the document. It is important that you read and understand the entire content of the waiver. By signing the waiver you are acknowledging that you have read, understood and agree to the terms set out in the waiver document. We suggest that you consider seeking legal advice before signing the waiver document.


PGAMO Youth (14 to18 years) Rider Policy:

A rider aged between 14 and 18 years of age is considered a youth rider. Rider age is the age of the rider on the day of the event (July 12, 2020). Riders under 14 are not eligible to enter.

All youth riders must have:
• the consent of a parent or guardian;
• some experience of group riding;
• a solid understanding of road riding safety and etiquette;
• their waiver signed by parent/guardian at Package Pick-Up; and,
• present proof of age and photo ID at Package Pick-Up.

Under 16 (U16) Riders: Only ‘coached' riders under 16 years are allowed to ride. ‘Coached’ riders are defined as:
• U 16 riders who are an active member of a Cycling BC affiliated club with a youth program or;
• Riders who present a letter from a certified NCCP cycling coach. The letter must provide the coaches certification, coaches experience with the rider and confirm that the rider has been instructed in road riding safety and had demonstrated that they are capable of safely riding in a mass participation ride.

Riders under 16 are only eligible to participate in the Cortofondo (55 km) or Mediofondo (92 km) at the discretion of the organizers.
